Privacy policy

ProjectRate (projectrate.app) helps freelancers track time, send invoices and get paid. This policy explains what we collect, why, who else handles it, and what you can do about it. In short: we use your information to run the app for you. We don’t sell it, we don’t show ads, and we don’t use tracking or analytics tools.

What we collect

From you

• Your account: your name, email address and password (or the account you sign in with, such as Google or Apple).
• Your business details: what you choose to put on invoices, such as your business name, address, phone, website, logo, signature, tax ID and how clients can pay you (for example bank details or a payment link).
• Your work: clients, projects, rates, time you track, notes, invoices, expenses and the receipts you upload. We remove location and camera details from receipt photos when you upload them.
• Voice: if you use voice entry, the recording is turned into text and then discarded. We keep the text, not the audio.
• Messages to us: anything you send through feedback or support.

About your clients

You decide what to enter about your clients (names, emails, addresses, tax IDs). We hold it so you can bill them. When a client opens an invoice link you sent, we record that it was opened and when, and whether they told you they’ve paid, so you can see it. If you enter someone else’s details, please make sure you’re allowed to.

Automatically

• Sign-in cookies: to keep you signed in. We don’t use advertising or analytics cookies.
• On your device: the app saves drafts and anything you enter while offline on your phone or computer until it can send it.
• Logs: like most websites, our hosting keeps short-lived technical logs (such as IP address and browser type) for security and fixing problems. When something breaks, we receive an error report with email addresses, numbers and other personal details removed.

How we use it

• To run the app: saving your work, making your invoices and PDFs, and showing invoices to your clients.
• To send email you ask for: invoices, and overdue reminders if you turn them on. These come from projectrate.app on your behalf, and replies go to you.
• To keep accounts secure, prevent abuse and fix problems.
• To answer you when you contact us, and to tell you about important changes to the app or these terms.

AI features

Some features use AI services, and only when you use them: reading a receipt you upload, understanding what you say with voice entry, and turning pasted text into invoice lines. The receipt, recording or text is sent to the provider listed below to get the result, which you can check and change before saving. Under their business terms, these providers don’t use data sent through their services to train their models by default.

Who else handles your information

We use these companies to run the app. They handle your information only to provide their service to us:

• Supabase: database, sign-in and file storage (receipts, logos, signatures).
• Render: hosting for the app.
• Resend: delivering email.
• Anthropic: receipt reading, voice understanding and invoice text (AI).
• OpenAI: turning voice recordings into text (AI).
• Google and Apple: only if you choose to sign in with them.
• Stripe: payments for paid plans, when they’re offered. We never see your full card number.

When you send or share an invoice, your client sees what’s on it (and any receipts or files you attach). We may also share information if the law requires it, to protect someone’s safety, or as part of a sale or merger of the business, in which case this policy would still apply to it.

Your information is stored in the United States.

How long we keep it

We keep your information while your account is open. When you delete your account, we delete your data and files from the app straight away; copies in our providers’ backups are removed as those backups expire. We may keep a record we’re required to keep by law.

Your choices and rights

• See and download your data: Settings, then Plan & data, then Export (spreadsheets of your time and invoices, or everything in one file).
• Correct it: edit anything in the app, or ask us.
• Delete it: Settings, then Plan & data, then Delete account. It can’t be undone.
• Email: overdue reminders to your clients are off unless you turn them on.

California residents: you have the right to know what personal information we collect and how we use it, to get a copy, to have it corrected or deleted, and not to be treated differently for asking. We don’t sell personal information or share it for targeted advertising. To make a request, contact us below. We’ll check it’s really you before acting on it.

Security

Everything travels encrypted. Each account’s data is kept separate by the database itself, not only by the app, and receipts and contractor invoices are stored privately. No system is perfectly secure, so use a strong password and tell us straight away if you think your account has been misused.

Children

ProjectRate is for businesses and isn’t meant for anyone under 18.

Changes

If we change this policy, we’ll update the date above. If a change matters, such as a new way we use your information, we’ll tell you by email or in the app before it takes effect.
